Job Description

POSITION SUMMARY: 

 

The non-exempt Events Assistant supports the Sisters of St. Joseph, Brentwood by providing administrative, clerical, and event coordination support to the Office of Mission Advancement. This role helps advance the Congregation's mission by assisting with fundraising events, donor relations, and community engagement. The ideal candidate is organized, detail-oriented, and motivated by values of service, compassion, and collaboration.

 

QUALIFICATIONS:

2-3 years of administrative or development experience in a nonprofit, educational, or faith-based organization.

Proficiency with Microsoft Office and donor database systems (Raiser's Edge preferred).

Strong written and verbal communication skills.

Excellent organizational skills with the ability to manage multiple tasks and deadlines.

Ability to handle confidential information with discretion.

Team-oriented, mission-driven, and aligned with the values of the Sisters of St. Joseph.

Preferred experience with Blackbaud/Raiser's Edge/Financial Edge.

Familiarity with Canva, Constant Contact, or similar tools.

 

ESSENTIAL DUTIES & RESPONSIBILITIES - Includes, but is not limited to, the following:

Administrative Support

Provide daily administrative support including scheduling, correspondence, filing, and recordkeeping.

Maintain accurate donor, alumnae, and constituent records.

Prepare acknowledgment letters, thank-you notes, and other correspondence.

Assist with reports, mailing lists, and database queries.

Fundraising & Donor Relations

Support the execution of fundraising events such as the Spring Liturgy Luncheon, Golf Outing, 5K Run/Walk, December Soiree, and seasonal appeals.

Coordinate event logistics: invitations, RSVPs, guest lists, materials, and on-site setup.

Assist Communications with newsletters, digital updates, and social media content.

Track donations, pledges, and sponsorships and ensure timely follow-up.

Communications & Outreach

Assist with creating content that highlights the mission and impact of the Sisters of St. Joseph.

Help update website content, social media, and digital newsletters.

Maintain photo archives and event materials.

Financial & Office Coordination

Process invoices, deposits, and expense reports through Blackbaud Financial Edge.

Work with Finance to ensure accurate recording and reconciliation of donations and event revenue.

Maintain office supplies, event inventory, and organizational systems.

Performs other duties as needed

 

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an

employee to successfully perform the essential functions of this job.

 

This position employee requires the ability to sit or stand for extended periods, to lift and carry up to 25-30 pounds and assist with event setup and breakdown. The role involves frequent walking, bending, and reaching, and may occasionally require the use of small step ladders during event setup and breakdown. The position involves the use of standard office equipment, and occasional work outdoors or in varied weather. The role also requires the ability to travel across the Brentwood campus and occasionally to off-site event locations, with some evening and weekend hours are required for events.

Compensation for this position is based according to market rate and experience level.
